Your new website will serve as the primary hub for your listings, client inquiries, and brand presence.

Branded Website

All preconstruction and resale properties on a professional site you own and control. Listings can be added, updated and removed manually or automatically through the internal platform.

IDX Integration

Live MLS listings displayed on your site in real time. Buyers can search active listings from your inventory and beyond without leaving your site, keeping them engaged with your brand rather than third-party platforms.

Online Worksheet Submission

Clients digitally submit offer worksheets during preconstruction releases. Submissions route directly to the internal platform.

Interactive Map

Visitors draw a custom boundary on a live map and instantly view all firm properties within that area, with filters for price and type.

Inquiry Forms

Professional forms for property-specific and general inquiries. Every submission automatically creates or updates a record in your CRM.

Newsletter Signup

Visitors subscribe directly on the website. New subscribers are added to the mailing list and receive a branded welcome email.

Account Registration

Prospective buyers can create accounts. Enabling access to enhanced MLS data. Browsing and listing activity ties to a named contact, so you know exactly who is looking at what.

Engagement Analytics

Every click, form submission and page visit is tracked and fed into the internal platform for a clear picture of buyer interest.

A dedicated internal platform that centralizes property management, client engagement tracking, and external communications. This elimates the current reliance on a general-purpose cloud drive and disconnected spreadsheets. Your existing CRM remains the source of truth for leads and contacts.

A central hub for all preconstruction and resale listings. Status, documents, pricing and updates all in one place — pushing live to the website directly.

A real-time dashboard revealing which properties are being viewed, by whom and how frequently. The data flows automatically from the website.

04 — Compliance & Security

Engineered into the platform from the ground up.

This platform is designed and built to operate within the data rules that govern MLS listing access in Ontario and within Canada's Anti-Spam Legislation (CASL).

All MLS listing data displayed on the website is sourced through licensed feeds under valid data agreements between Wilson Williams Realty and the applicable data provider — PropTx/TRREB, and CREA where relevant.

Anonymous traffic analytics such as page views, clicks, search queries, map interactions, time on page are collected across all listing pages, keeping anonymous tracking consistent with IDX data-use rules.

For registered account holders, the platform operates under a VOW (Virtual Office Website) framework. Enhanced MLS data such as sell price history, days on market, prior listing history may only be shown to bona fide consumers after email verification, Terms of Use acceptance, and a brokerage-consumer relationship. This framework also enables client browsing and listing activity to be attached to named accounts, giving your team visibility into what registered users are viewing, how frequently, and which properties are generating the most engagement.

The platform also handles the operational obligations that come with VOW access:

  • Maintains a record of each registered user (name, email, username, credentials) for at least 180 days after password expiry, with full audit trail.
  • Enforces the VOW credential lifecycle including password validity and renewal.
  • Honours seller opt-outs, withholding any listing a seller has directed be kept off the internet.

Before the website goes live, Wilson Williams Realty will likely need to hold two data agreements, administered through PropTx/TRREB (and CREA where applicable):

  • IDX Agreement: Required to display live MLS resale listings with automatic updates. Enables the full live feed of your inventory and beyond.
  • VOW Agreement: Required for password-protected client accounts to access enhanced MLS data (sold prices, days on market, listing history). Governs the mandatory audit trail and unlocks internal use of interaction data for CRM lead scoring and personalized follow-up.

CASL requires every commercial email or text be sent only to recipients who have given express or implied consent, with a functional unsubscribe honoured within 10 business days.

  • Consent Capture: Every signup form, account registration, inquiry form, and worksheet submission includes explicit, CASL-compliant consent language, kept separate from Terms of Use.
  • Consent Records: Date, time, source, and method of consent is logged and retained automatically for every contact.
  • Consent Classification: Contacts classified as express or implied, with implied-consent windows tracked and transitioned automatically.
  • Unsubscribe Management: Every automated message includes a functional unsubscribe synced to your CRM so suppressed contacts are never re-added.
  • Records Migration & Consent Audit: Imported records are reviewed and classified by consent status before being added to any active list. Unverified contacts are quarantined.

All data transmitted between users and the platform is encrypted in transit using TLS/HTTPS. User passwords are hashed using modern cryptographic standards and are never stored in plain text. Personal data, consent records, VOW audit logs, and purchaser information stored in the database are encrypted at rest.

Access to sensitive data is restricted by role-based permissions so that only authorized team members can view or export client records. These measures satisfy the reasonable security safeguard requirements under PIPEDA and support compliance with TRREB/VOW data protection obligations.

The compliance framework reflects publicly available PropTx, TRREB, and CREA data-agreement policies and CASL requirements at the time of this proposal. Board data agreements and their rules change over time and vary by membership type and jurisdiction.

Before launch, Wilson Williams Realty is strongly advised to confirm all data-use, tracking, and display practices directly with the PropTx/TRREB compliance team (and CREA where applicable), and to obtain independent legal advice on CASL where appropriate. Wilson Williams Realty is responsible for obtaining licenses and covering associated fees. TRIZAN will work cooperatively with your team throughout to ensure the platform meets all board and regulatory requirements at go-live.

Kickoff & Data Agreements

Project kickoff, access handoff, and submission of IDX/VOW data agreements to PropTx/TRREB. Filed on day one and tracked as a gating milestone for MLS-dependent features.

Phase 1: Website Design & Development

All website pages, branded listings, interactive map, worksheet submission, inquiry forms, newsletter, account registration, engagement analytics, and mobile-responsive design. IDX activates on board approval. Review and revision rounds built in.

Weeks 5 – 10

Phase 2: Internal Platform & Automations

Begins alongside Phase 1. Property management dashboard, engagement tracking, CRM integration, birthday outreach, welcome emails, campaign automations, and email & SMS delivery setup.

Weeks 10 – 13

Phase 3: Compliance & Data Engineering

VOW and CASL compliance finalization, file & records migration with consent audit, full system QA including IDX/VOW feed verification, and final client review. Non-MLS features launch on schedule; VOW features switch on once board approval is confirmed.
